AI is not a substitute for human interaction

Artificial Intelligence (AI) in healthcare is a new and rapidly evolving area. Independent GPs consulting from MMVC may choose to use AI to automate some patient notes to save time and improve patient care. 

Your patient consultation is recorded and the AI tool transcribes the recording in real time to the AI tool’s server and is then linked to your patient notes. It helps your GP record accurate clinical notes during your patient consultation. The medical scribe tool listens in the background, capturing only the relevant details relating to clinical documentation requirements. These details are then transcribed into text to be sent to your GPs electronic medical record system. All recordings are deleted immediately after they have been transcribed.

The AI tool must comply with Australian standard in compliance with privacy legislation the Australian Privacy Principles and the Australian Privacy Act 1988, speech to text transcription, redaction and storage of your GP and your patient information and is securely done on Australian shores.

The AI tool must destroy the original audio files from their services immediately after transcription to reduce the potential for unintended data breaches. The audio stream from the consultation must be completely encrypted and securely transferred to server infrastructure.

All information is stored on server infrastructure that is fully-encrypted using bank level 256-bit encryption or better during transit and at rest. There must be agreement between AI tool and server infrastructure so that no party, including the web service can access or alter information and is defaulted to being stored for no longer than 7 days.  Your GP decides the default length.

Here’s what you need to know:

  • Transcription is performed exclusively in Australia and no third party has access to your information.

  • Audio file is immediately destroyed post-transcription

  • Transcription is redacted of sensitive, personal identifying information received.

  • The transcript is encrypted – it is not stored in its original form

  • Only your GP can access this content

  • At the discretion of your GP, data may be stored temporarily in the medical scribe tool for a time limit of 1-7 days, then it is destroyed.

Your GP will seek your consent on the initial occasion. After you consent, your GP may ask you each time or may assume if you consent once, then it is a reasonable expectation for your GP that you are aware that AI is being used for transcribing and there is no need for gaining consent each time.
